We are seeking a proactive, highly organized, and ethical Logistics Officer to manage all physical logistics, procurement, and resource coordination for our key project activities. You will be crucial in ensuring that all necessary resources are available when and where needed, allowing our program teams to focus entirely on delivering impact.
Job Type: Full Time (Temporal)
Duration: 3 Months (November 2025 to January 2026)
The core function of this role is to manage all physical logistics, procurement, and ensure that resources are available when and where needed for project activities, prioritizing transparency and ethical supplier engagement.
Your responsibilities will be directly aligned with our project needs:
- Venue and Accommodation Coordination (Activities 2 & 3):
- Lead the secure and equitable hiring of the venue for the trainings (Sub-Activity 2.2), ensuring the space meets all accessibility and safety requirements.
- Manage the full logistics, including Venue and Accommodation, for the 3-day retreat (Sub-Activity 3.2), prioritizing options that align with our ethical and social responsibility standards.
- Procurement of Materials and Refreshments (Activities 2 & 3):
- Procure all necessary Training Materials and Stationery (Sub-Activity 2.2), utilizing transparent bidding and vendor selection processes.
- Manage the logistics for securing and delivering Meals and Refreshments for both the 8-day training and the 3-day retreat (Sub-Activity 2.3, 3.2), prioritizing partnerships with local, women-owned, and socially conscious businesses.
- Equipment and Asset Management (Activity 5):
- Lead the full procurement, setup, and detailed inventory management for all necessary Equipment Purchases (e.g., Laptop, Printer, Modem + Internet Setup, Projector).
- Ensure all equipment setup is completed on time to support project delivery.
- Report Production Logistics (Activity 4):
- Manage the logistics and physical process for the Printing of the Final Report (Sub-Activity 4.3), ensuring high-quality, efficient production and delivery.
Reporting and Compliance:
- Develop and submit detailed activity reports weekly and monthly to the Project Coordinator, ensuring accountability and clear communication of logistical progress and challenges.
What We’re Looking For (Essential Skills & Experience)

- Ethical Procurement: Proven experience in managing procurement processes, including securing bids, negotiating contracts, and tracking expenditures with a commitment to transparency and anti-corruption.
- Logistical Expertise: Strong background in managing complex event logistics, including venue scouting, vendor coordination, and materials delivery for multi-day events.
- Detail and Planning: Exceptional planning skills and meticulous attention to detail to ensure zero gaps in resource availability, including timely report generation.
- Resourcefulness: A proactive approach to problem-solving, anticipating logistical challenges, and finding creative, cost-effective solutions.
- Values Alignment: A commitment to the Gracious Gifters Foundation’s mission and a willingness to apply equity and social responsibility principles to vendor selection.

- Lived experience relevant to the communities we serve.
- Experience working in a non-hierarchical or flat organizational structure.
- Familiarity with micro-soft word, excel, PowerPoint, google meet, zoom and internet search engines and email.
