We are seeking an organized, empathetic, and detail-oriented professional to ensure the smooth, transparent, and ethical operation of our human resources and administrative functions, with a focus on our current project activities. This is a vital support role that contributes directly to the well-being and compliance of our entire team.

Job Type: Full Time (Temporal)

Duration: 3 Months (November 2025 to January 2026)

The core function of this role is to oversee all human resources, general administration, and ensure project activities comply with internal policies, specifically championing the principles of our new HR policy (which prioritizes equity, psychological safety, and transparency).

Your responsibilities will be directly aligned with our project needs:

  • Consultant and Staff Contract Management (Activities 1 & 3):
    • Lead the development and publicizing of the Call for Services for both the Policy and Strategic Planning Consultants (Act 1.1/3.1), ensuring an equitable and accessible selection process.
    • Compile and manage all necessary, accurate contracting files for all consultants and staff, upholding pay equity and transparency standards.
  • Participant and Staff Coordination (Activities 2 & 3):
    • Manage and track internal staff logistics, including attendance, leave, and schedules, ensuring compliance with labour laws and our well-being-focused HR policy.
    • Track participation numbers (15 internal staff and 5 external) for all workshops and the team retreat, supporting equitable access to professional development.
  • Overhead and Office Administration (Activity 6):
    • Manage day-to-day office administration, including tracking office utilities and external communications.
    • Serve as the primary support for all ongoing HR needs for project staff, including onboarding, offboarding, and administering benefits.

Reporting and Compliance:

  • Develop and submit detailed activity reports weekly and monthly to the Executive Director, ensuring accountability and clear communication of HR progress and challenges.

What We’re Looking For (Essential Skills & Experience)

  • Administrative Excellence: Proven experience in office management, contract administration, and logistical coordination.
  • HR Knowledge: Familiarity with standard human resources processes, including recruitment, contracting, compliance, and staff support. Experience with or capacity to quickly learn compliance with local labour laws.
  • Transparency & Detail: Exceptional attention to detail in document preparation (especially contracts and financial tracking) and a commitment to transparent communication.
  • Emotional Intelligence: High capacity for empathy, discretion, and maintaining confidentiality, particularly when handling sensitive HR matters.

Nice-to-Have (Valued Assets)

  • Lived experience relevant to the communities we serve.
  • Experience working in a non-hierarchical or flat organizational structure.
  • Familiarity with micro-soft word, excel, PowerPoint, google meet, zoom and internet search engines and email.
